Job Summary
The Executive Assistant II supports two or more functional executives, including members of C-Suite. This position is a key support role to our senior leadership team and must be able to manage confidential information. The Executive Assistant II manages multiple executives’ calendars, agendas, and travel arrangements. This position takes meeting minutes and follows up on action items from the meeting. This position may manage project timelines and provide input on the executives’ behalf to project teams. In addition, this role will build communication, executive presentations, and reports for key metrics in the supported operation.


Role & Responsibilities
Conceptualize Communication

  • Work closely with functional executives to keep him/her well informed of upcoming commitments and responsibilities
  • Remain well-informed with industry knowledge/trends
  • Organize and maintain confidential communication
  • Manage an active calendar of appointments; arrange complex and detailed travel plans, itineraries, and agendas
  • Support and monitor the functional executives’ email, voicemail, and other communication channels
  • Consolidate incoming information for review
  • Research information provided in presentations for the executive to validate if needed.

Prioritize & Organize

  • Arrange corporate travel (specific to the functional executive, their clients, and other corporate guests) and meetings by developing itineraries and agendas, scheduling transportation, arranging lodging and meeting accommodations
  • Organize and maintain confidential records
  • Record notes for select meetings the functional executive attends and/or facilitates
  • Compile and organize business and personal expenses, invoices, and other financial statements

Research & Technical Aptitude

  • Successfully complete critical deliverables with exceptional project management abilities
  • Create presentations to communicate executive’s vision and initiatives
  • Read and build reports to display mission critical metrics for the supported operation

Executive Influence

  • Help key executives make consistent decisions by advising them of historical precedents, serving as the liaison between them and the functional executive
  • Serve as the “gatekeeper” for access to the functional executive ensuring his/her schedule is followed and respected
  • Research vendors and provide summary insight to the functional executive for the meeting
  • Collect and distribute the functional executive’s mail, ensuring critical items receive proper attention
  • Assist the functional executive with select written communications (both internal and external)
  • Manage personal and business information with absolute confidentiality and discretion
  • Assist functional executives and the C-Suite with personal responsibilities and needs when required

Minimum Position Qualifications/Education

  • Associates Degree or equivalent related experience
  • 7+ Years of experience in support or office management
  • This position is required to be on site
  • Requires excellent interpersonal communication skills
  • Requires ability to use a variety of business or technical programs (Workday, Bullhorn, and the full Microsoft Suite)
  • Normal working conditions which require normal to close concentration, visual attention, and manual dexterity
  • Candidates must possess the following characteristics and traits: motivation, meticulousness, ability to multi-task, and integrity with sensitive/confidential information

Preferred Qualifications/Experience

  • Previous recruiting or staffing industry experience
  • Experience working in a team environment
